What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

When you fill in a contact form on this site, we archive the data you enter. We may use this data to contact you to promote activities of the Edgewater Park Community. We do not sell, or give away this data to any third parties.

Where we do contact you, then a record of this communication is stored.

You may edit all the data you have supplied to us, in the “Account” section of the home page.

Events

If you attend one of our Events then a record of this will be kept, along with the details you supply.

If this is one of our paid events, then we will keep financial records of the transaction. We do not handle payment directly, and pass that to our payment provider (currently Paypal). We keep a record of the transaction ID, but do not have any access to your card data

Elections

If you choose to stand in an election, then we provide space to write a candidate profile. This profile will be shown to all users participating in the election, and will be available to view until the election has completed. You can edit your own candidate statement at any time until voting has started, by pressing the button on that same page.

When you vote in an Election on this site, we record a record of your vote alongside your user id, to allow you to change your vote at any time until the election has ended.

At the end of an election, once we have satisfied ourselves that the election was tallied correctly, we will anonymise the votes received for the election.

Cookies

If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Who we share your data with

We do not optimise this site with analytics data, and do not make your data available to third parties.

This site is generously being hosted by AY Software ltd. They have administrator level access to this site, and if were minded could access all the same information that we can. We do have an privacy agreement in place, that ensures that they will not use your data for any purpose, other than what is essential to keep this site online.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

We store AES encrypted backups off-site recording all activity over the past 12 months.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Additional information

How we protect your data

Your data is kept on a security-hardened server hosted inside the European Union. Security patches are applied daily, if required. All backups are stored with military-grade AES 256 encryption.

What data breach procedures we have in place

In the event of a data breach, It is our policy to notify all affected users within 72 hours of us being made aware. We take efforts to continually monitor the server against breaches taking place.

What third parties we receive data from

We neither import data, nor export data with any third parties.

What automated decision making and/or profiling we do with user data

Any information supplied in a contact form is kept in the same fields in a database. We have the ability to perform actions (e.g. send mailings) based on any subset of the information supplied. As a community hub, we may occasionally need to contact users based on this information.
